Terms of Service

1. About these terms
These terms govern your access to and use of BillFlow (the "Service"), an AI-assisted invoice, expense and bank transaction processing application that connects to Zoho Books. By creating an account or using the Service you agree to these terms. If you are accepting on behalf of a firm or company, you confirm you are authorised to bind that organisation.
2. Accounts
- You must provide accurate registration details and keep your login credentials confidential.
- You are responsible for all activity carried out under your account and by users you invite.
- Accounts are for the use of your firm and its authorised team members only.
- We may suspend accounts that are used unlawfully, abusively, or in breach of these terms.
3. Plans, trials and payment
- New accounts start on a free trial with a limited document allowance and time period.
- The paid subscription is ₹4,999 per month and includes 500 documents per billing cycle. A document is counted only when it is pushed successfully to Zoho Books; failed pushes are not counted.
- The document allowance is shared across all organisations connected to your account and resets at the start of each billing cycle. Unused documents do not carry forward.
- Payments are processed by third-party payment gateways. Prices are exclusive of applicable taxes.
- Subscriptions may be cancelled at any time and remain active until the end of the paid cycle. Except where required by law, payments already made are non-refundable.
- Certain accounts may be granted complimentary internal access at our discretion.
4. Your data and connected accounts
You retain ownership of the documents, statements and accounting data you upload or connect. You grant us the limited right to process that content solely to operate the Service for you — including AI-based extraction, matching and categorisation, and pushing records to the Zoho Books organisations you authorise. You are responsible for having the right to upload and process the data you submit.
5. AI-generated output must be reviewed
BillFlow uses automated extraction and categorisation. Output may be incomplete or incorrect. Every document passes through a review step for a reason: you are responsible for verifying vendor details, tax treatment, amounts and account mapping before approving a push. BillFlow is a productivity tool and does not provide accounting, tax or legal advice.
6. Acceptable use
- Do not attempt to access other users' data, or probe, scan or disrupt the Service.
- Do not upload malware or content you are not entitled to process.
- Do not resell, sublicense or white-label the Service without our written consent.
- Do not use the Service to violate any applicable law or third-party rights.
7. Third-party services
The Service integrates with third parties such as Zoho Books, AI model providers and payment gateways. Their own terms apply to your use of those services, and their availability is outside our control.
8. Availability and changes
We aim to keep the Service available and reliable, but it is provided on an "as is" and "as available" basis without warranties of any kind. We may modify, add or remove features over time. Material changes to these terms will be reflected by updating the date at the top of this page.
9. Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental or consequential losses, loss of profit, or loss or corruption of data. Our total aggregate liability arising out of or relating to the Service is limited to the subscription fees you paid in the three months preceding the event giving rise to the claim.
10. Termination
You may stop using the Service and close your account at any time. We may suspend or terminate access for breach of these terms or non-payment. On termination, your right to use the Service ends; data deletion is handled as described in our Privacy Policy.
11. Governing law
These terms are governed by the laws of India, and the courts at Kerala, India shall have exclusive jurisdiction over any dispute arising from them.
